DOWNLOADABLE DOCUMENT TEMPLATES/SAMPLES:

After a successful application, our Pannonia scholarship recipients can ensure the smooth disbursement of their scholarship and the completion of the program’s mandatory documentation by filling out the following forms: 

 Tasks/administrative matters before mobility:

  1. step – Completion of the acceptance letter with the partner institution. The template is available here: Letter of acceptance

 

  1. step – Filling out the so-called mobility/learning agreement, and having it signed by the partner institution. The template is available here: Mobility Agreement for Traineeships

 

  • Signing process: First, the scholarship recipient signs it, followed by the host institution, and finally the sending institution (UVMB). For the final step, please send it via email to the International Office.

 

  1. step – Grant Agreement – Fill it out accordingly with the mobility and scholarship recipient’s details, then send it in an editable format (WORD) via email to the International Office for review and finalization. The template is available here: Grant Agreement for Traineeships

 Tasks/administrative matters during mobility:

  1. step – With the start of the mobility, the so-called Certificate of Stay document must be completed with the host institution and then sent to the International Office, signed and stamped. It is important that the certificate includes the mobility start and end dates as stated in the grant agreement. The template is available here: Certificate of Stay – Traineeships

 

  1. step – In the last week of the mobility, the scholarship recipient is required to complete the so-called Traineeship Certificate document with the host institution and then send it to the International Office, signed and stamped. It is important that the certificate includes the mobility start and end dates as stated in the grant agreement. The template is available here: Traineeship certificate

 

  1. step – In the last week of the mobility, the after the mobility section of Mobility/Learning Agreement, must be completed and signed by the host institution.

 

Tasks/administrative matters After the mobility (no later than 30 days after the end of mobility):

  1. step – At the end of the mobility, the scholarship recipient is required to prepare a final report on their completed internship/studies. The following guidelines can assist in this process:
  • Include the scholarship recipient’s name, mobility dates, and location.
  • Share practical and general experiences about transportation, accommodation options, and daily life in the host country/city.
  • Provide a professional report on experiences related to the daily work at the host institution and opportunities for development (preferably illustrated with photos).
